Is there a tool to import payments into Xero from a CSV or Excel file?

Yes. Xero’s standard imports do not record payments against invoices and bills that already exist, so you need a separate tool. Paysweep reads your CSV or Excel file (customer receipts and supplier payments can share one file), checks every row against your organisation, shows a preview, records the payments only after you type PAY and the count, and can undo a run for 30 days. Checking and previews are free and so are the first 3 payments per organisation; then $39 for a 7-day pass (up to 300 payments) or $19 a month (excl. VAT/sales tax).

When another option fits better

If you are a Xero partner converting a client’s history onto Xero, the Conversion Toolbox is free and made for that. If you import many kinds of transactions (journals, contacts, invoices) and not just payments, a general importer such as SaasAnt Transactions covers more record types. If the same custom file arrives every week from another system, a file-reader service such as EntryRocket is built for repeated layouts.

Paysweep only records payments on invoices and bills that already exist. It does not create invoices, import bank statements or reconcile bank lines.

How Paysweep does it

  1. Connect the organisation through Xero’s own sign-in. Paysweep never sees your Xero password.
  2. Choose the file: CSV or .xlsx (first sheet), one row per payment. Headers are matched automatically and can be changed by hand.
  3. Preview: how many payments are ready, the total per currency, and the rows to fix with their row number.
  4. Confirm by typing PAY and the count. Each invoice is read again right before its payment is recorded.
  5. Result: an outcome per row, a link to each document in Xero, a result CSV, and Undo for 30 days.

Questions

Can Xero import payments from a CSV file itself?

Not for an ordinary subscriber: the standard Xero imports cover bank statements, invoices and bills, not payments against invoices that already exist. Xero’s Conversion Toolbox can import payments, but it is meant for Xero partners (accountants and bookkeepers) moving clients onto Xero. Paysweep works for any connected organisation.

Can one file mix customer payments and supplier payments?

Yes. Each row names an invoice or a bill by its number (or Xero InvoiceID), so receipts against sales invoices and payments against bills can sit in the same file. Each row also gives a payment date and the bank account code (or one default account for the whole file); a blank amount pays what is due.

What is checked before anything is written?

Every row is checked against your organisation: the number must match exactly one approved invoice or bill with something due, the rows for one document must not add up to more than is due, the account must accept payments in the right currency, and the date must be after your lock date. Rows with a problem are listed with their row number and never sent. Paysweep writes only after you type PAY and the number of payments.

How many payments can one file hold?

Up to 5,000 data rows per file and 2,500 payments per run. Paysweep paces itself at 55 calls a minute and 95% of Xero’s daily call cap, and a run continues the next day if the cap is reached.

Can I undo an import?

Yes, for 30 days and free. Undo sets the payments a run recorded to Deleted in Xero, so the invoices and bills are due again. A payment that is already reconciled, or part of a batch payment, is left alone and listed with the reason.

What does Paysweep cost?

Connecting, checking files and previews are free, and so are the first 3 payments in each organisation. After that $39 one-off for a 7-day pass (up to 300 payments) or $19 a month per organisation, excl. VAT/sales tax. Undo is never counted.
